Short answer: Choose Redtail if you want the lowest published price ($39 per user per month billed yearly), compliant texting and document imaging in one bundle, or you already run on Orion. Choose Wealthbox if your team values ease of use and wants AI built into the CRM itself: an AI Assistant that reads your records and a native AI Notetaker add-on with new compliance controls. Redtail has the bigger user base; Wealthbox has the happier users and the most advisors looking to switch to it.

Key takeaways

Market share vs. satisfaction

The 2026 T3/Inside Information Software Survey collected 2,906 valid responses between November 2025 and mid-February 2026. In the CRM category, Orion's Redtail was used by 42.53% of respondents, up from 26.32% a year earlier. Wealthbox came second at 17.48%, down from 21.62%. The authors think the 2025 numbers were the anomaly: Redtail "returned to near 50% market share (where it had consistently been in the past)" after the survey drew more dually registered advisors this year.

Ratings tell a different story. Wealthbox scored 8.12 out of 10, above 8.00 for the third year running. Redtail scored 7.35, below the category average of 7.70.

The switching data is the most useful part for a buyer. Asked which CRM they were considering, more respondents named Wealthbox (298) than any other product, followed by Salesforce Financial Services Cloud (130) and Advyzon (127). Redtail drew 85. Among current Redtail users, 16.53% were considering Wealthbox. Among Wealthbox users, 2.60% were considering Redtail.

Who uses which also differs. Wealthbox led among advisors with one to five years of experience (33.68% vs. 30.57%) and was close to Redtail in the smallest firms. Redtail dominated with advisors of 20+ years (48.10% vs. 11.74%) and with dually registered advisors (59.76% vs. 16.06%).

Pricing: what a small team actually pays

Both vendors publish per-user prices. Redtail's are lower, and its Growth plan bundles texting and document imaging that would otherwise be separate purchases.

Example: a 4-person team (2 advisors, 2 staff), list prices as published October 26, 2026
SetupMonthlyPer year
Redtail Launch, billed yearly (4 × $39)$156$1,872
Redtail Growth, billed yearly (4 × $59)$236$2,832
Wealthbox Pro (4 × $75)$300$3,600
Wealthbox Pro + AI Notetaker for 2 advisors (+2 × $49)$398$4,776
Redtail Growth + Zocks Essentials for 2 advisors (+2 × $67, billed annually)$370$4,440

The last two rows are the fairer comparison if you want AI meeting notes. Wealthbox's notetaker price is an introductory rate, so check what it renews at. On Redtail you would pick a separate notetaker such as Zocks, Jump or GReminders, all of which sync notes to Redtail. Compare all CRM plans on CRM pricing, or see Wealthbox pricing and Redtail pricing.

Redtail's Launch plan caps you at 5 users. If you plan to hire, price Growth from day one so the comparison isn't flattering one side.

AI features: built in vs. plugged in

Wealthbox is putting AI inside the CRM. Its AI Assistant answers questions about a client by reading notes, emails, tasks and opportunities directly, pulls together a household's accounts, flags stalled conversations and drafts client messages that you review before sending. Requests can be saved as Playbooks and run in one click. Agents that monitor your book and create tasks are listed as coming soon.

The Wealthbox AI Notetaker records, transcribes and summarizes meetings into the right contact record, with meeting prep and follow-up email drafts. On October 20, 2026 Wealthbox added compliance controls for it: a Meetings Compliance Monitor role, keyword detection that highlights phrases such as "guaranteed returns" in transcripts, and settings to restrict transcript access and delete transcripts automatically after a set number of days.

Redtail takes the platform route. It connects to 100+ tools, so most firms add AI through a notetaker that writes into Redtail. Redtail Speak, its compliant texting product, lists an AI Assistant. Through Orion's connector, Redtail is also one of the CRMs in Anthropic's Claude for Financial Advisors launch; Ezra Group reports Orion charges $15 per user per month for Redtail access through that connector. Details in Claude for Financial Advisors: which tools connect.

Neither approach is wrong. Native AI means one vendor, one contract and one set of permissions. Plugging in a specialist notetaker usually gets you a more mature meeting tool today. See the best AI notetakers for financial advisors and Jump vs Zocks if you go that way.

Workflows, texting and compliance

  • Workflows: Wealthbox adds workflows and automations on Pro; Premier adds customizable dashboards and workflow template sharing. Redtail's Growth plan includes process workflows and automation triggers.
  • Texting: Redtail Speak (on Growth) gives archived, CRM-integrated texting, subject to broker-dealer approval. Wealthbox doesn't list a texting product on its pricing page, so you'd add one.
  • Documents: Redtail Imaging includes 200 GB of document storage on Growth. Wealthbox file storage runs from 2 GB on Basic to 20 GB on Enterprise.
  • Security: Wealthbox lists SOC 2 compliance, two-factor authentication and compliant note archiving. Redtail lists compliant note entry and archiving, audit trails in Imaging and SSL security.

If your broker-dealer supervises texting, Redtail's bundle is hard to beat on price. If you're an RIA that wants meeting supervision inside the CRM, the new Wealthbox notetaker controls are worth a demo. Our guide to record-keeping for AI chats and notetakers covers what to ask.

Which should you choose?

Choose Redtail if…

  • You want the lowest published price and are 5 users or fewer (Launch), or need unlimited users at $59 (Growth).
  • You're dually registered or at a broker-dealer that already supports Redtail.
  • You use or plan to use Orion for portfolio accounting, trading or planning.
  • Compliant texting and document imaging matter more than built-in AI.

Choose Wealthbox if…

  • Your team will live in the CRM all day and ease of use is the priority.
  • You want an AI assistant that reads your CRM records, without wiring up another tool.
  • You'd rather keep meeting notes, transcripts and compliance review in the CRM.
  • You're a newer or smaller practice; that's where Wealthbox's share is highest.

How to decide in two weeks

  1. Start both free trials the same week. Wealthbox's runs 14 days without a credit card; Redtail's covers the full Growth plan.
  2. Load 20 real households (anonymized if compliance asks) and rebuild your three most common workflows: new client onboarding, annual review and a money movement request.
  3. Connect the tools you won't give up: custodian, planning software and notetaker. Check that data flows both ways.
  4. Have your operations person, not just the advisor, score each one. They use the CRM most.
  5. Price the full team for three years, including notetaker, texting and any connector fees.
