What is OCR and document AI?

Abbreviation: OCR. Also called: optical character recognition, document AI, intelligent document processing.

Short answer

Technology that reads text and figures from scans, PDFs and photos so software can extract and analyze them.

Definition

Optical character recognition (OCR) turns images of text, like a scanned statement, into machine-readable text. Document AI goes further: it understands the layout, finds specific fields (adjusted gross income, beneficiary names, trustee provisions) and pulls them into a structured form.

Tools that read tax returns, estate documents and insurance policies for advisors are built on this.

Why it matters for advisors

Document AI is behind some of the clearest time savings in advisory work: tax return analysis, estate plan summaries, statement data entry. It's also handling some of the most sensitive documents clients give you.

Extraction errors are easy to miss because the output looks tidy. Spot-check key figures against the source, especially on poor scans.

Example

A firm uses a tax analysis tool to read clients' returns and flag planning opportunities. The advisor confirms the flagged figures on the actual return before raising them with the client.

Watch out for

Handwritten notes, poor scans and unusual forms are where extraction fails most. Don't assume a blank field means the document had nothing there.
